Billing and reports

Superbills, payments and the month's numbers, from the record you already keep

Superbills that fill themselves in from signed notes, a financial summary by month and by procedure code, a treatment log that catches missing notes, and card payments into your own Stripe account.

The money and the clinical record should tell the same story

A visit is signed in one place, charged in another and written up for the patient's insurer in a third. When they live apart, it is hard to know what was billed, what was paid and which notes are still missing. In Zento they all come from the same visits.

What is included

The billing side of the practice, in order

Superbills

Built from signed notes: procedure codes with modifiers and units, diagnoses with pointers and your fees, numbered and locked once issued.

Your fee schedule

Set your fee for each procedure code once. Superbills and the summary use it.

Financial summary

Signed visits, charges at your fees, the amount superbilled, card payments, refunds and net, by month and by code.

Treatment log

Every visit in a period with the state of its note, so a missing or overdue note shows up early.

Card payments

A card saved at booking and charged after the visit, paid into a Stripe account in your name.

Export

The summary and the log export to CSV that opens cleanly in Excel, ready for your bookkeeper.

Superbills

From the signed note to the patient's insurer

1

Sign the visit notes

Each signed note carries the procedure codes and diagnoses for that visit. Coding problems are flagged before you sign.

  • Procedure codes with modifiers and units
  • ICD-10 diagnoses with pointers
2

Choose the visits

Pick a date range and the superbill fills itself in: codes, units, diagnoses, your fees, and card payments for those dates as paid.

3

Hand it to the patient

Download the PDF and pass it on. The patient sends it to their own insurer for out-of-network reimbursement, and it counts in your summary.

Summary

A month you can read at a glance

Signed visits, charges at your fees, what was superbilled, card payments, refunds and net, month by month and by procedure code, for any period up to a year.

  • Signed visits and charges at your fees
  • The amount superbilled, card payments and refunds
  • Net for each month
  • By month and by procedure code
  • Any period up to a year
  • Failed card charges listed for a retry; export to CSV

Treatment log

Gaps in the record, before anyone else finds them

The treatment log is built from the visits and notes already in Zento:

  • Every visit in the period with the state of its note: signed, draft or missing
  • Who signed each note and how many days it took
  • Notes unsigned after seven days flagged
  • Completed visits with no note flagged
  • The procedure codes for each visit
  • The superbill number, once one is issued
  • Export to CSV

From a single visit to the month's report

Step 1 of 6

Codes on the signed note

Procedure codes are checked against your one-on-one minutes before the note is signed, so the superbill starts right.

All names and details in these illustrations are made up.

Frequently asked questions

What is on a superbill?

Your name, NPI, license, tax ID, address, phone and the acupuncturist taxonomy code; the patient's details, health plan, member ID and relationship to the insured; and for each visit the date, place of service, CPT codes with modifiers and units, ICD-10 diagnoses with pointers and charges, with totals charged, paid and due.

How does the patient get the superbill?

You download it as a PDF and pass it on. The patient submits it to their insurer for out-of-network reimbursement.

Can I set my own fee for each code?

Yes. Set your fee for each procedure code once, in billing settings. Superbills and the financial summary use it.

Do you submit insurance claims for me?

No. A superbill is what the patient sends their own insurer. Nothing is submitted to a payer on your behalf.

Are cash and check payments included?

Yes, once you record them. Record a payment taken by cash, check, a card terminal or a transfer on the patient's billing tab or the appointment, and a numbered receipt is created for you to download and give the patient. Recorded payments count in the financial summary next to card payments through Stripe. On a superbill you can add them to the amount paid.

Can I take payment when the patient books?

A service can require a card at booking. Stripe saves it without charging, and the visit is charged afterwards: automatically, after your approval, or when you choose. Late-cancellation and no-show fees are charged to the same card.

Is this accounting software?

No. It keeps the clinical side of billing in order and exports to CSV, so your bookkeeper or accountant gets clean numbers.

Which plans include it?

Superbills, the financial summary and the treatment log are on every plan. Card payments, refunds and no-show fees are on Growth and Pro.
